What an event QR code does
An event QR code carries a calendar entry: title, location, start and end time and an optional description. When it is scanned, the phone offers to add the event to its calendar. People then get their own reminders, so it works well on invitations, posters, tickets, conference badges and class schedules.
Create it in QRinst
- Open the QRinst generator and choose Event under the More tab.
- Enter a clear title, the location, and the start and end date and time.
- Add a short description if useful, then download the code and test it.
Get the details right
- Title — put the event name first, since the calendar shows it truncated.
- Start and end — always set both. Without an end time many calendars create an all-day or zero-length entry.
- Location — use a full address or venue name that a maps app recognises, so the calendar entry can open directions.
- Time zone — for online or travel events, write the zone in the title or description (for example "10:00 CET") because attendees may be anywhere.
Keep the code scannable
Every character in the title, location and description is stored in the pattern, and long text makes the code dense. If you want to include a long agenda or speaker list, put it on a web page and add that link to the description rather than pasting it in. A short entry stays easy to scan even when printed small; see how big to print a QR code.
Where to use it
Put the code on the invitation next to the date, so scanning is faster than typing it in by hand. Add the words "Scan to add to calendar" so people know what it does. If the date or venue might change after printing, a calendar entry cannot be edited, so for events that are still moving use a dynamic code that points to an event page you can update. The guide on static vs dynamic QR codes explains the difference.
